For nearly 100 years, our customers have been mechanical contractors, where site managers and workers can expect work of the highest quality. The client offers in-house services including plumbing, piping, hvac sheet metal, design, engineering, manufacturing, construction and industrial control, facility maintenance, 24*7 hour service and construction technology solutions.
The client wanted to manage a workforce/assignment of more than 300 skilled employees, specialists, managers and maintenance technicians. They rely on pen and paper, which is time consuming and difficult to maintain. So we came up with the idea to develop an employee management and work assignment portal that can track the details of employees and also use it as a performance management tool of employees.
We conducted multiple sessions with the stakeholders to go through the system requirement thoroughly. We planned to design a system keeping the end user in mind so that employees who are busy with work and have little follow-up time can participate in employment record maintenance equally. We used a subtle approach to deliver the application without complex features but with hassle free user experience.
Client was looking for a web solution which includes all the functionalities for workforce management as well as forecast management. It took a month for us to understand the actual requirement and to create the workflow accordingly. The major challenges we faced was:
We created a custom generated method to automate workflow, time entry, training/credential screenings/status, and even as monitoring worker assignments and talent tiers clearly and efficiently.
After dedicatedly working on the requirement, we achieved features as per client’s expectations with detailed development as per the intended flow.
We did QA to make sure that each and every functionality is working properly and the app is not taking time to load the larger amount of data.
The dashboard is the master page of the application which the user is getting after logging into the system. It has details about active jobs, assigned employees, employee assignments, and filter setup. We have designed the dashboard in such a way that the managers can get the overview of assigned employees to different companies.
Managers can also move or copy the employees to different roles by just drag and drop. Same employee can be assigned to multiple jobs. It also has the feature of formatting employee icons as per their department types.
We have provided role wise accessibility to the registered users. So that employees/workers can not view other tasks running by the higher management.
Only Admin will be able to view each and every employee details and will be able to modify those details. Rights can be changed as per the requirement and approval of the higher authority.
The application gives facility to filter employees by departments, job types, certifications, by tools or by the name of assigned project manager.
We have added multiple filters to minimize the search and to get accurate employee data. Users can also save their multiple filter selections for future use.
Companies can add, edit and remove their employees. Authorized person can update or block the employees with the built in feature. Apart from that it is easy for the company to import their employee data via an excel sheet. We have also added the features to copy or move an employee to another job.
This is very helpful for the managers to assign future tasks to employees as well as it will save time to create employee roles under another company. Apart from this we have added features to view employee leaves, previous jobs and certification to bifurcate employees as per their talent.
Employees will be able to apply for the leave from the portal. They will have access to the calendar to submit the leave request. They can put a request for time off every week, monthly or yearly as per requirement.
Reporting manager will get a request to approve or reject the leaves. Employees can view their leave history in the profile.
This application also provides tools management, where companies can add the tools or machineries utilized by them. It also allows the employees to submit the tickets to their higher management asking for the tool purchasing or machinery part purchasing.
Managers can view all the available tools inventory, maintenance details, required parts details. We have also added a feature to rent the tools to other companies and users can view reports on tools management as well.
This feature helps companies to manage their labours. Via customized reports companies can get the data of labourers who are currently working and can allocate future work for them.
This feature helps companies balance customer demands and employee satisfaction by avoiding overstaffing and understaffing and scheduling labour hours to meet these needs.
Users can get the customized reports as per their requirements whenever they want without getting depended on anybody. Admin can view the report employment wise.
Through the report companies can get an estimate about how many employees are required and how many are not working on any task as of now. Managers can plan work for people as per upcoming projects by going through such reports.
